Overview
With CaterZen, The Pay By Invoice feature allows you to send an invoice to a Customer and give them the option to securely pay online using a credit card—as long as you're connected to a supported credit card gateway and have the feature enabled.
This guide walks through how to send an invoice and how Customers pay it once the feature is enabled.
Before You Start (Important)
Before using Pay By Invoice, you must first enable invoice payments in your Admin settings.
If invoice payments are not enabled, Customers will not see the option to pay online.
Enabling Online Invoice Payments
This step is required for Customers to pay invoices online.
In Admin > Global Settings > Credit Card Processing > Settings
Locate the option for Invoice Payments at the bottom
Check the box to Allow customers to pay via Invoice
Once enabled, Customers will be able to submit payments directly from invoice emails.

How Pay By Invoice Works
You create an order and generate an invoice
You send the invoice to the Customer by email.
The Customer clicks the Pay Invoice button.
Payment is processed securely through your connected payment processor.
The order and invoice update automatically once payment is received.
Step 1: Locate the Invoice- Click on the Accounting tab.
- Select the Invoices/Catering Tickets link.

- Date range or
- Customer name or
- Invoice number

Step 2: Send the Invoice via Email
- Click on the View tab next to the invoice you want to send to your customer.

- The Order Details will appear for the order.
- Go to the Choose a Function Dropdown
- Choose View Invoice.

- The Invoice will appear and choose the blue Email button. At the bottom, you will see a link that directs your customer to make a payment.

- The customer's email will pre-populate automatically, but you can update it if needed. Confirm or update their email address, then click Send Email Now.

Step 3: Customer Payment Process
- The customer receives the email with the invoice attached as a PDF.
- They can:
- Click the Pay Now button in the email.
- Open the attached PDF invoice and click the link from there

Step 4: Enter Credit Card Details
- The customer will be directed to a secure payment page.
- The customer can enter any gratuity they would like to add
- Click Add a credit card

- The Customer can enter credit card information and click Submit

Step 5: Payment Confirmation
- The system will confirm if the payment is approved or declined.
