Not every contact needs to complete an entire sequence. CaterZen’s CRM Sales Pro gives your team ways to stop scheduled follow-up when it is no longer needed.

A contact may reply, book a catering order, or let your team know they are no longer interested. Unenrolling the contact stops future automated emails and prevents additional follow-up tasks from being created by that enrollment.

Sequences are a CRM Sales Pro feature and require an active CRM Sales Pro license.

When Sequence Follow-Up Stops Automatically

When a Contact Replies

When a contact replies to a sequence email, they are automatically unenrolled from that sequence. Your team can then continue the conversation personally.

When a Sequence Completes

Once a contact completes all steps, their status changes to Finished. There are no remaining steps to run in that enrollment.

When a Sequence Is Archived

Archiving a sequence unenrolls the contacts currently enrolled in it.

Restoring an archived sequence does not automatically re-enroll contacts or resume their previous enrollments.


When to Manually Unenroll a Contact

Manually unenroll a contact when the sequence’s follow-up no longer fits their situation.

Examples include:

  • A Customer books the catering order you were following up on.
  • A Customer tells your team by phone that they are no longer interested.
  • A Customer asks your team to stop contacting them.
  • A contact was enrolled in the wrong sequence.
  • Your team is handling the opportunity personally and no longer needs the scheduled outreach.

If a Customer books an order or speaks with your team outside a sequence email, review their enrollment and manually unenroll them when appropriate.


Unenrolling from a Contact Record

  1. Open the Contact Record in CRM.
  2. Click Sequence Enrollment to view active and past sequences.
  3. Find the sequence you want to stop.
  4. Click Unenroll.

The contact’s status changes to Unenrolled, and future automated emails and new follow-up tasks from that enrollment stop.

If the contact is enrolled in more than one sequence, review each enrollment and stop any additional outreach that is no longer appropriate.


Unenrolling from a Call Task

If you are completing a call and the Customer says they are no longer interested or no longer need the follow-up:

  1. When finishing the Call Task, look for the Unenroll from Sequence option.
  2. Select the sequence and choose Unenroll.
  3. Save the task to complete the action.

This lets your team update the enrollment as part of recording the Customer conversation.


Reviewing Contact Enrollment Status

To review contacts in a sequence:

  1. Go to CRM → Sequences.
  2. Click View (eye icon) next to the sequence.
  3. Review the enrolled contact list and each contact’s status.

Statuses help you distinguish what happened:

  • In Progress: The contact is still moving through the sequence.
  • Finished: The contact completed the sequence.
  • Replied: The contact replied to a sequence email.
  • Unenrolled: The contact’s enrollment was stopped.

Use available filters to narrow the list, and export the contact data to Excel when needed for reporting or team review.

Handling Requests to Stop Email Outreach

If a Customer asks to stop receiving email outreach, review their active sequence enrollments and manually unenroll them from any applicable sequences.

Do not rely only on the “Opted-out of email campaigns” checkbox to stop Sequence emails. Review and stop the active enrollments as well.

Make a note of the Customer’s request in their CRM record so your team knows why the outreach was stopped and can avoid enrolling them again unnecessarily.


Best Practices for Managing Unenrollments

  • Respond personally to replies. A reply is your cue to continue the conversation directly.
  • Review enrollments when a Customer books. Stop prospecting or proposal follow-up that no longer applies.
  • Record the reason for manual unenrollment. Give your team useful context for future conversations.
  • Check for other active sequences. Stopping one enrollment does not mean every enrollment has been stopped.
  • Review contacts still in progress regularly. Make sure the scheduled outreach remains relevant.
  • Review existing calls and tasks. Decide whether any follow-up already created still needs to be completed.
  • Respect requests to stop outreach. Review active enrollments and document the Customer’s preference.
