Overview
Need to make changes to a customer's order after it's already been placed? CaterZen makes it easy to update order details—like date, time, menu items, or pricing—and save those changes with minimal hassle. This guide walks you through how to open an existing order, make edits, and update the invoice accordingly.

Step-by-Step Instructions
Locate the order you wish to edit
Go to the Overview, CRM or Calendar tab on your navigation bar.
Search or scroll to find the order you want to edit.
Click on the Order ID Number link.
Open the Order for Editing
You’ll be taken to the Order Details screen.
Click the Ticket Functions dropdown.
Select Open for Editing.
Confirm Editing
Click the button labeled Proceed With Editing Order #XXX to unlock the order for editing.
Make Your Edits
You’ll now see the Order Entry tab with the original order pre-filled.
Here, you can:
Add or remove menu items
Adjust quantities
Change the event date or time
Update the delivery fee, tip, or notes
Important Note: All original details will be carried over. Be sure to review and update everything that needs to be changed.
Save Your Changes
When you’re finished editing:
Scroll to the bottom of the screen.
Click Save Changes to this Order.
Choose How to Update the Invoice
After saving your order edits, CaterZen will prompt you to choose how you want to handle the existing invoice if there has been a change in the total price.
Think of it like a stoplight:
? Green = Go (Safe to proceed)
? Yellow = Caution (Proceed, but be mindful)
? Red = Stop (Use only when necessary)
Option 1 (Most Popular):
ADJUST THE TOTAL DUE ON THIS INVOICE to reflect the difference ($XX.XX)
The original invoice number is retained.
The total is simply updated based on the order edits.
Option 2 (Rarely used):
I WANT TO DELETE ALL EXISTING INVOICES AND CREATE A BRAND NEW INVOICE REFLECTING MY CHANGES
A brand-new invoice (with a new invoice number) will be generated.
Option 3:
I WANT TO DO NOTHING WITH THE EXISTING INVOICE
Select this if no invoice changes are necessary.
Your edits will be saved, but the invoice won’t be updated and will not reflect the new total
Option 4:
I WANT TO LEAVE EXISTING INVOICES AS THEY ARE AND CREATE A NEW INVOICE FOR THE DIFFERENCE ($XX.XX)
This will leave the original invoice in place and generate a second invoice for the updated amount.
Great for showing clients an adjustment summary.
Confirm Your Selection
The system will double-check your choice.
Click OK to confirm and proceed.
Review the Updated Order
You’ll return to the Order Details screen, where:
Your updated order will be displayed
The invoice will reflect your chosen update method
